Who is responsible for your information?
JR MACHINES LIMITED, trading as KyaHaal?, is the controller of personal information processed for this website and its enquiries. Registered company details are on our Legal Information page. For privacy requests, email action@kyahaal.com.
What we collect
When you contact us, we may receive your name, email address, any telephone number you choose to provide, your organisation or professional background, the contents of your enquiry and links to portfolios, public profiles or showreels. We may also receive technical information needed to operate and secure the website, such as IP addresses and server request logs, depending on the hosting configuration. Please do not submit identification documents, financial details, medical information or other sensitive information at this introductory stage.
Why we use it and lawful bases
We use enquiry details to read and respond to messages, evaluate proposed collaborations and decide whether to continue a discussion. Our usual lawful basis is legitimate interests in communicating with people who approach us and considering genuine business and creative opportunities. Where you ask us to take steps towards a contract, we may instead rely on steps taken at your request before entering into a contract. We use necessary technical and security logs for our legitimate interests in maintaining a reliable, secure website, and may retain information where required by law or necessary to establish, exercise or defend legal claims. We do not use a talent introduction as permission to send unrelated marketing emails.
Who can access it
Access is limited to authorised JR MACHINES LIMITED personnel handling KyaHaal enquiries and, where needed, contracted IT, email or hosting providers acting under appropriate arrangements. We do not sell personal information. We will not forward a person's showreel or contact details to unrelated casting companies, clients or prospective partners without first identifying a lawful basis and providing appropriate information; ordinarily we will ask before doing so.
International transfers
Some email, hosting or cloud providers may process information outside the UK. Our email and hosting providers may process data outside the UK. Where restricted transfers take place, we will use an applicable adequacy arrangement or appropriate transfer safeguards. Provider-specific arrangements must be confirmed before deployment.
How long we keep information
Our intended retention schedule: general enquiries that do not progress are deleted or anonymised within 12 months after the last meaningful correspondence; unsolicited talent introductions that do not progress within 6 months; enquiries that develop into business relationships are retained for the duration of the relationship and then for periods justified by applicable contractual, tax or legal requirements. Requests for deletion are assessed individually, including where legal retention is necessary. Backups and technical logs may follow separate documented deletion schedules.
Your rights
Depending on the circumstances, you may have rights to access, correct or erase your personal information, restrict or object to processing, and request portability. You have the right to object to processing based on legitimate interests, including direct marketing where applicable. You can email action@kyahaal.com to exercise your rights. We will respond in accordance with applicable law. You may complain to the UK Information Commissioner's Office at ico.org.uk. Where processing relies on consent, you can withdraw it at any time without affecting prior lawful processing.
Whether you must provide information
You do not have to contact us or submit a portfolio. If you do not provide a way to respond, we may be unable to reply. We do not make decisions about website enquiries using solely automated processing that produces legal or similarly significant effects.
Cookies and analytics
The downloadable KyaHaal website does not itself set cookies, run analytics or load advertising trackers. The eventual hosting or security service may use essential cookies or process technical logs. We will review the live deployment before publication. If non-essential cookies or comparable technologies are introduced, we will update this notice and implement applicable consent controls before using them.
Changes
We may update this notice when our practices change. Material changes will be brought to individuals' attention where required.
